HOW AN ADMINISTRATIVE ASSISTANT IV WILL MAKE AN IMPACT:
- Working in a discreet environment handling sensitive and personal information daily
- Completing transactional duties with special attention to detail, being organized, and multi-tasking
- Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
- Handling and receiving incoming and outgoing correspondence
As an Administrative Assistant IV, your day-to-day responsibilities will include:
- The candidate will support three executive-level officers within the office; vet/screen unscheduled visitors/phone calls; perform liaison duties (internal/external) with other groups and offices; review/prioritize emails and alert principals of hot items; provide principal(s) calendar support by mitigating schedule conflicts as required; manage the principals time by applying working knowledge of mission priorities, principals business area(s) and personal preferences
- The Administrative Assistant will be forward-facing to our mission partners; have professional decorum while interacting with all levels of personnel and have broad latitude to exercise independent judgment to complete both transactional and dynamic tasks
- Communication will be both verbal/written
- Occasional travel (minimal) to other buildings within the WMA may be required
- Normal physical requirements (lifting/moving/on their feet) will be expected
- The candidate reports to the Chief of Staff and will work as a member of the Administrative Assistant team with primary focus supporting the three executive officers and providing general admin support for the rest of the office
- The other two members of the team are focused on action tracking and portfolio (plans/budget). All three officers serve as a backup to each other in support coverage and ensuring actions are completed on time
- The office has access to government vehicles, but mainly travel is done in personal vehicles
- Currently, travel is rare, unless needed to support a senior level meeting, support a vendor demo, or participate in a team building exercise
REQUIRED QUALIFICATIONS:
- The position requires an active TS/SCI with Polygraph
- HS Diploma and 7 years of relevant experience or equivalent combination of education and experience
- The core hours will be dependent upon supporting the group of principals, but no earlier than 7 a.m. as a start time
- Proficient Word, Excel, Outlook, PowerPoint
- Able to perform duties with minimal supervision and some team interaction
- This position is on customer site
