Sales Coordinator

This position works closely with the Special Events Managers in contract negotiations and servicing accounts. Primary service efforts are in corporate and special events, including menu planning, agenda setting, corporate meeting services, hospitality amenities, and special VIP requests. Duties also include but are not limited to contract review and facilitating communication before, during, and post-event with pertinent hotel staff to ensure a high level of service. Also, assist in hosting site inspections as needed, participate, and/or lead event meetings and other staff meetings. Job Responsibilities include, but are not limited to:

Pinpoint qualified leads through the ROI system for weddings or corporate events at Goodstone Inn

Recognizing opportunities to achieve financial performance goals, Budget limitations, and cost controls

Audit and complete group contract turnover checklist for each definite contract in preparation for handover to the Corporate and Events Managers

Respond to call and email inquiries professionally

Prepare sales-related documents throughout the sales process

Completes special projects and related duties as assigned

Assist the sales team by managing schedules, filing important documents, and communicating relevant information

Ability to respond quickly and accurately to guest services

Act as liaison between the client and various departments

Responsible for providing support day of events to ensure the success of each event

Display good customer relation skills and take the initiative to greet guests in a friendly manner

Perform property tours with potential customers

Coordinates necessary arrangements with vendors relating to sales

Ensures all documents produced by the Sales Department

(i.e., BEOs, contracts, rooming lists, proposals) are completed accurately and on time. Preferred Education and Experience:

High School diploma or equivalent

One year of related experience in sales, preferably in the restaurant/hospitality/service industry or an equivalent combination of education and experience

Previous experience working for senior-level managers and/or supporting multiple managers

Previous experience with HubSpot, Maestro, and Triple Seat is a plus

Bachelors Degree preferred but not required

Requires good communication skills, both verbal and written

Proficient in using Microsoft Office

(Word, Excel, PowerPoint)

Previous experience working in a similar role is a plus

Excellent communications and presentation abilities

Effective organization skills

Flexible schedule, able to work evenings, weekends, and holidays
