The SI will perform non-staff aspects of an Executive Officer role in support of the Sponsors front office.
This consists of, but is not limited to the following Providing systems integration support for the Sponsor component(s), to include integrated portfolio support of projects, programs and technologies Providing administrative support to the Sponsor's governance process and Corporate Board, to include the management of required technical interchange meetings and the support of ongoing collection and program analysis Assessing technical plans, guiding implementation activities, and defining program phases, sequencing, and required deliverables for the Sponsor's systems Working with the division level Project Managers with planning and coordinating program management process activities and leveraging experience to recommend streamlined and efficient business processes, to include developing standard operating procedures and associated documentation Creating and coordinating of processes facilitated by a formalized set of principles, policies, and decision-making structures Monitor and help facilitate Sponsor's response to Corporate Action Taskings Defining and capturing requirements by interacting with stakeholders and subsequently conducting independent research and analysis of information in preparation for meetings seeking information from personnel within the supported principal's organization or appropriate external stakeholders to provide background information the principal will require for meetings and other engagements.
Follow-up to ensure material is ready for review in advance of meeting Formatting, proofreading, and editing correspondence and other documents to ensure clarity, accuracy, grammar, and conformance with the Sponsor' guidance.
Route correspondence and track status through completion Designing and maintaining documentation management tool and program website(s) Managing and monitoring check-incheck-out of all personnel in the division.
Update and maintain phone directories, key contacts, email groups, shared drive and database accesses as well as account ownership Meeting preparation and facilitation of the Group and Division Program Management Review Manage travel planning and arrangement for CWCM government staff to include creating and coordinating travel cables.
Required Ability to design andor modify comprehensive briefing packages with data and information that will resonate with senior leadership Working knowledge of Sponsor's and external stakeholders' processes, policies, procedures, and internal support systems and databases Ability to communicate in a clear and concise manner, sufficient to convey complex ideas and information on technicaladministrative mission-related issues in a well-organized, logical, concise, credible, and courteous manner that is appropriate for the situation, topic, and listener
Critical thinking skills sufficient to make sound and timely recommendations andor decisions in unique situations, considering alternate actions Ability to assist in the identification and tracking of action items, tracking and monitoring of ongoing projects and initiatives, coordination of project schedule and capturing meeting minutes Ability to work independently and amongst a team with minimal supervision to address roadblocks and deliver results in a timely manner or provide the most relevant course of action Extensive working knowledge of Microsoft Office Suite applications and other tools in order to format and adapt submitted correspondence Bachelor's Degree or equivalent experience Requires 10 to 12 years with BSBA or 8 to 10 years with MSMA or 5 to 7 years with PhD, or equivalent experience.
